The problem it fixes

A yes on WhatsApp is not a seat. At the first CME we ran on this system, 24 doctors registered, 17 of them came, and 13 more walked in without registering. Food, seating and certificates had all been planned on the wrong number.

The other problem is who gets in. A CME is for registered doctors. Without a check, the list fills up with students, relatives and people who came for the dinner.

What it does

  • An RSVP page for every session with three honest choices: confirmed, likely and interested. The organiser plans on a realistic number, not a hopeful one
  • Only registered medical practitioners can take a seat. A doctor the system has not seen before gives a State Medical Council registration number, and the organiser approves the seat from one screen
  • The confirmation screen gives a calendar invite, the venue map and the details. Doctors are asked to reconfirm the day before
  • Check-in at the door on any phone. Walk-ins are added in seconds, so the final count is the real one
  • Certificates with a QR code that anyone can verify, issued only to doctors marked present
  • A feedback QR on the last slide. A doctor who answers it is also counted as present
  • Each event can carry its own files and links: the agenda PDF, the map, the WhatsApp group
  • A list of doctors that grows with every event, with a clear way to opt out

How it runs day to day

The organiser opens one desk link. It lists every session, open ones first, with the dashboard, check-in, approvals, files and feedback for each. One passcode opens all of it. Door staff can be given a code that opens check-in for a single event and nothing else. After the event, the attendance list exports as a spreadsheet for the sponsor.
